Case Study 1

Medium Sized Business, employing over 100 staff in various roles and departments.

Objective:
To identify areas within the business that would benefit from an updated IT infrastructure putting in place. Give further computer based training to staff with a view to making day to day tasks for each department run more efficiently and work towards saving the company money long term.

What we did:
As the needs of the various departments within this company where quite different, we began with an overview of each departments processes. We met with the staff and management of each department, discussed with them how they would like to move forward and which processes they feel should be looked at. We also watched the staff in their daily tasks to look for other areas which we could help with.

The outcome:
As the current database for holding service and customer information was adequate for the business type, we looked at areas which the database did not cover, that we could help improve on. We worked with the staff that use it to build smaller databases and setups using tools such as Microsoft Excel tables, Mail Merge and Google Calendar. As a lot of the work outside of the database was done on paper there were many repetitive tasks being done which were unnecessary. We trained the staff on their new systems and offered email and telephone support for troubleshooting. We gave individual training to staff that were lacking confidence in computers and how they can help them and also provided support on setting up new systems for future use such as email contact and billing.

Case Study 2

Medium Sized Business, employing over 100 staff, 60% manual, 40% office based.

Objective:
To bring the existing but under-used database up to date, to provide staff training on the database. To identify areas within the office / admin departments where general computer usage could be improved to assist with everyday tasks.

What we did:
This company had a great database at their fingertips but had never been given adequate training on using it to its full potential. We began with getting and overview of what each department does, how they currently use the database, any other software and processes that they use day to day and how the security of the database is handled.

The Outcome:
We began by re-training the main administrator for the business on how to effectively use the database. This staff member then brought the database up to date by inputting all of the previous paper records for staff and clients. Before moving on, we reviewed the security aspect of the database and made this secure, enduring that users only had access to relevant parts of the database to their role. We then staged group training for each department in turn, teaching them the parts of the database which they will be using and answering any queries, that they may have. We also offered email and telephone support for troubleshooting

Case Study 3

One Department in a small company employing approximately 30 staff.

Objective:
To work with individuals who were struggling with the concept of moving over to working on a computer as opposed to the way in which they were used to. Liasing with the individuals to ensure that the systems were introduced gradually and that full training was given.

What we did:
Met with the management team as well as with the individuals who were effected to ensure that both parties were aware of the others views. We suggested the slower method of introducing technology making sure that the staff had time to get used to the new processes. We offered one to one training to the most effected staff members, provided telephone and email support and arranged a return visit to go over any issues.

The Outcome:
Both the management and the staff were happy that they had reached an achievable agreement on how they carry out daily tasks. The staff were able to develop their new skill in a way that kept stress and additional workload to a minimum, whilst management were able to move forward with their plans for the business as well as saving time and money in the long term.
